These general housing guidelines apply to all Kotkan Opiskelija-asunnot properties. The specific features of each property (such as the locations of common areas) are listed at the end of the document, grouped by property.

1. Move-in and entry inspection

  • You will receive your key and directions on how to fill in the entry inspection online form on the first business day of your lease, during office hours from 9 AM to 3 PM.
  • Submit a change of address and notification to the population data services agency: https://dvv.fi/en/individuals
  • Complete the entry inspection and submit the online form immediately (the same form will be used later for the exit inspection).

Note! Also check the internet connection, laundry room access, and the locations of storage areas and waste management facilities for your property.

2. Rent and payments

  • Rent is due on the 5th of each month.
  • Rent includes: electricity, water, heating, internet (100 Mbps), and laundry room; some buildings also include a shared sauna.
  • If your rent invoice is lost, you can get a new one from the office.

3. Safety and smoke detectors

  • There is a smoke detector in every room of the flat. Test the device twice a year.
  • The detector must not be moved or removed.
  • If the detector does not work despite testing, submit a fault report.

4. Common areas

The usage guidelines for common areas are the same in all properties. The exact locations of the facilities and any exceptions are described in the property-specific information.

Laundry room

Use of the laundry rooms is included in the rent. Follow the instructions and reservation lists. Laundry room locations can be found in the property-specific information.

Storage spaces

Each flat has a storage space (exceptions are property-specific). Storage locations can be found in the property-specific information.

Bike storage

All properties have a separate bike storage area. Bike storage locations can be found in the property-specific information.

Table tennis room

The table tennis room is available at Koskisoppi (see location in property-specific information).

5. Parking

  • Park only in designated spaces.
  • Electric car charging spaces are available for a fee; reservations can be made at the office.
  • Keep your parking permit visible.

The properties have active parking enforcement. The exact locations of parking spaces can be found in the property-specific information.

6. Waste management and recycling

  • Waste bins: bio, paper, cardboard, metal, glass, mixed waste
  • Follow sorting instructions carefully.
  • Larger items (e.g., a chair) should be taken to recycling or the Jumalniemi waste station.
  • Electronics and hazardous waste can be delivered to collection points at stores that sell similar products.

7. Pets

  • Pets are allowed in studios and family flats (not in shared flats).
  • You need written permission from the office.
  • A deposit of €150 is charged for pets + €50 per additional pet (max 2 dogs/cats).

When the pet leaves, the maintenance person conducts an “exit inspection”, after which the deposit is refunded.

8. Fault reports and repairs

Maintenance responsibilities for residents

Residents are responsible for normal upkeep of the flat and minor maintenance tasks. No fault report should be submitted for these.

Resident responsibilities include:

  • purchasing and replacing ceiling lights and other lamps
  • cleaning the cooker hood filter (at least once a year)
  • regular testing of smoke detectors
  • cleaning floor drains and water traps
  • general cleanliness of the flat and normal upkeep

If you are unsure whether a task is the resident’s or maintenance’s responsibility, contact maintenance before taking action.

Fault reports

Always submit a fault report when:

  • the toilet, faucet, or pipe is leaking
  • the flat is too cold/hot
  • ventilation is inadequate
  • doors and windows do not close
  • the drain is not working
  • appliances or fixtures are faulty
  • there is an unusual odor
  • you are unsure about how something works

Fault reports are submitted via the website’s fault report form or by calling maintenance.

Report:

  • the nature of the fault
  • any pets in the flat
  • your phone number
  • whether you would like the maintenance person to visit without your presence

Say that you are calling from Kotkan Opiskelija-asunnot Oy. Also give the name of your house and your address, as well as your name and date of birth. Your identity will be verified when opening the door.

9. Keys and door opening

  • If you forget your key, contact the maintenance person during working hours or SOL emergency service in the evenings and on weekends.
  • Door opening service is subject to a fee.
  • Lost keys will be charged at the locksmith’s cost.

10. Internet

All flats include a free 100 Mbps internet connection.
Use a direct RJ45 cable (not a modem cable).

11. Ventilation

  • The extractor fan runs continuously, with boost times from 7–9 AM and 3–8 PM.
  • Leave the bathroom door slightly open after use.
  • Avoid drying laundry in the flat, or ensure adequate ventilation.

When heating the sauna, ensure adequate replacement air by opening the kitchen replacement air vent or window. If the flat does not receive enough replacement air, the ventilation will not work properly and the sauna heating time will increase.

12. Disturbances

  • Quiet hours are from 10 PM to 7 AM.
  • If the disturbance continues for a long time and your own efforts do not help, call the SOL emergency center.
  • Repeated disturbances will result in a written warning.
  • Reports of disturbances must be submitted in writing to the office.

13. Furniture and equipment

  • Flats are mostly unfurnished.
  • The flat includes: wardrobe, ceiling lights, venetian blinds.
  • Residents are responsible for purchasing and replacing lamps.

Check for any exceptions in the property-specific information.

Note! The refrigerator power switch must not be turned off, as this may cause damage to the appliance.

14. Post

  • Only the flat number should be marked on the postbox, not the resident’s name.
  • Submit a change of address to the postal service.

15. Termination, move-out, and deposit

Termination

  • Always done in writing via the online form.
  • Notice period: 1 month, starting from the last day of the current month.
  • For family flats, both tenants are required to fill in their own copy of the online form.

Change of flats

  • Possible for justified reasons.
  • Application must be renewed every 3 months.

Move-out

  • Follow the move-out instructions.
  • Return keys in a key envelope.

Deposit

  • Refunded within one month of the end of the tenancy.
  • Used if necessary for cleaning and repair costs.

16. Talokansio

Talokansio is an electronic service for Kotkan Opiskelija-asunnot residents, where current announcements and documents concerning residents are published.

Laundry rooms are located in building C.

Bike storage

Bike storage is located in buildings B and C.

Storage lockers

Storage lockers are located in buildings B and C. Building A residents’ lockers are distributed as follows:

  • flats A1–3 → building B
  • flats A4–8 → building C

Civil defence shelter

The civil defence shelter is located in the ground floor of building B.

Parking

Parking areas are located in the property yard areas.

Laundry room

The laundry room is located on the ground floor.

Bike storage

Both stairwells have their own bike shelters on the ground floor.

Storage lockers

  • Stairwell A storage spaces are located in the shelters.
  • Stairwell B storage spaces are located on the ground floor of stairwell B.

Civil defence shelter

The civil defence shelter is located on the ground floor of stairwell A.

Parking

Parking is in designated spaces in the yard area.

Kajuutta

Storage lockers

  • Building A storage lockers (nos. 1–26): building A, 1st floor
  • Building B storage lockers (nos. 1–27): building B, 1st floor
  • Flats A27–36 and B28–47: storage lockers in the parking garage, in the civil defence shelter

Civil defence shelter

The civil defence shelter is located adjacent to the parking garage.

Parking

Parking is in designated spaces on the property grounds.

Keisarinranta

Laundry room

The laundry room is located in building 2.

Bike storage

There are separate outdoor storage areas for bikes in each building.

Storage lockers

Storage spaces are located in building 2.

Civil defence shelter

The shelter is located in building 2, on the ground floor.

Technical exceptions

Keisarinranta flats have an exhaust fan (not a cooker hood).

Parking areas are located in the property yard areas.

Koskisoppi

Laundry rooms

Laundry rooms are located in buildings B and D.

Bike storage

  • Buildings BC: bike storage between the buildings on the backyard side
  • Building D: bikes on the ground floor of building D
  • Buildings AEF: bikes in building E bike storage
  • Buildings H and I: own bike storage in outdoor equipment rooms

Storage lockers

Storage lockers are not flat-specific. Residents may use any available locker. Notify the office which locker you are using.

Locker locations:

  • Building C lockers → building B
  • Building F lockers → building A
  • Building I lockers → building H

Table tennis room

The table tennis room is located on the ground floor of building I. Keys are available from the office upon signing.

Civil defence shelters

Shelters are located in buildings A, B, D, and H.

Waste management

Mixed waste is in the parking area in front of building B and in front of the waste shelter between buildings B and H.

The laundry room is located on the 1st floor.

Bike storage

Bike storage is located in the property’s common areas.

Storage lockers

Storage is located on the 1st floor. Storage is primarily intended for family residents. A limited number of rental storage lockers are also available (inquire at the office).

Civil defence shelter

The shelter is located on the 1st floor.

Parking

Parking is allowed in the property yard areas.
